OPERATE · VAULT BUSINESS SOLUTIONS
Internal Knowledge Base Setup
One organised, searchable home for everything your team needs to know: policies, procedures, templates, contacts and how-to guides. Vault designs it, migrates your content and trains the team, in 5 working days.
Information is everywhere, so it is effectively nowhere.
Policies are in an email from last year, templates in someone’s drive and instructions in WhatsApp groups. Staff ask the same questions repeatedly and use outdated documents.
Every interruption costs the people who know the answers.
A single source of truth your team actually uses.
Vault builds a structured knowledge base on a platform you already pay for, moves in your existing content and sets rules for keeping it current.
- A clear structure by department and topic
- Search across policies, procedures and templates
- Owners and review dates for every page
- Fewer interruptions and faster onboarding

Internal Knowledge Base Setup questions
Which platform is best?
If you use Microsoft 365, SharePoint is usually best. Google Workspace users often choose Google Sites. Notion suits fast-moving teams. We recommend during intake.
Who keeps it up to date?
Every page has an owner and review date. We set up reminders so content does not go stale.
Can it include HR policies?
Yes. It works well with the HR Policy & Employee Handbook and Employee Self-Service HR Hub.
Is it secure?
Access is controlled by your platform permissions, so sensitive pages can be limited to certain roles.
